Logistics of File Transfer

Your teacher will ask you to use one or more method of transferring the completed project to him. Methods may include the following:

  • Use your teacher's Drop Folder
  • Burn your presentation to a CD
  • Use a Flash drive (usb memory stick)
  • Email the presentation
Excel
  • Instructions for using Excel for a timeline
  • Color printer access - LS Lab, US #220, and Science building
  • Information on Image size and type in the PowerPoint section below, also apply to Excel

PowerPoint - Images

  • Don't copy and paste images from the Internet into PowerPoint. Right-click images when you find them and use SaveAs instead; otherwise you may be pasting a linked image rather than just the image.
  • Inserted images should not be .bmp files. Use .jpg or .gif.
  • How can you tell? If you save the file from the internet, right-click it and choose Save As. In the file type choose jpeg (or jpg)
  • Mac users must use the Insert menu rather than copy/paste to have their pictures show up on another machine.
Image Editing Software 
  • PhotoShop Elements and IrfanView are installed on all student machines, if you need to do additional image editing. 
  • You can also use the Picture tab to edit photos in PowerPoint. Click on the picture and the tab will appear. Use the Compress button if you edit your images in PowerPoint.

You can download IrfanView  http://www.irfanview.com/ on your home computer, if it is a PC. It is a very good free, small program. 

Image in the Background
  • Right-click a blank area in your slide, choose Format Background, Picture, and the button Insert from: File... There is a wonderful new option in PowerPoint 2010 to set the Transparency of your background image. You will want to set the number high (try around 80%) so that the image does not fight with the text on top of it.  

Insert a Textbox on top of the image, if needed, and make sure your text size and color are readable.

If you have inserted an image that is not part of the background, and you also put a text box in, you may need to change the order. Right-click the image, choose Send to the Back or Bring to Front.

PowerPoint - Sound
  • Insert tab, Media, Audio. Locate and click on your file.
  • Click the new Audio Tools, Playback tab that appears when your Sound icon is selected.
  • In the Audio Options group, choose Start - Play Across Slides.
  • Choose Hide During Show so your sound icon will not show on the screen.
  • You can also trim your audio clip and choose whether to Loop it.
  • Try the new Fade in and Fade out options.

Important note: You will need to be sure that your sound files are correctly packaged with your presentation. There are two ways to do that. I will list one way.

When you have completed and saved your PowerPoint, you must use the Package for CD option to move any media along with the PowerPoint. Go to the File tab, Save and Send, Package Presentation for CD.

Additional Formatting Ideas for Your PowerPoint

  • Insert tab - Shape or SmartArt.
  • Once a shape is inserted and selected, a new Drawing Tools tab appears with options that used to be on the Drawing Toolbar.
  • Right-click a blank space on the slide and choose Format Background and choose a color for your background
  • Click the Design tab and choose a prepackaged Design Template
  • Remember to use the undo button if you make a mistake.

Bulleted Points - Animation

  • Remember the 6x6 rule of thumb (no more than 6 words across, 6 words down)
  • After entering all bulleted points, choose the Animations tab for options on entrances and exits..
  • Pick your effects (and sound, if needed) judiciously
  • Don't have text cross other text or images, if possible
  • Consider having your bulleted point dim after you are through talking about that point. To do so, in the Animations tab, Animation group, click the down arrow for More options. Under Exit pick Fade.
