- Instructions for
using

below, also apply to Excel
PowerPoint - Images
- Don't copy and paste images from the Internet into PowerPoint.
Right-click and use SaveAs instead; otherwise you may be pasting a
linked image rather than just the image.
- Inserted images should not be .bmp files. Use .jpg or .gif.
How can you tell?
If you save the file from the internet, right-click it and choose
Save As. In the file type choose jpeg (or jpg)
|
- PhotoShop Elements and IrfanView are installed on all student machines, if you need to do
additional image editing. is in US #220 and a couple
of copies are installed in the US lab.
- Use the Picture toolbar to edit photos in
PowerPoint. (Click on the picture and the toolbar usually appears. If it
does not go to the View menu, Toolbars and click
Pictures)
|
|
Image Editing Software
You can download IrfanView http://www.irfanview.com/ on
your home computer. It is a very good
free, small
program.
Image in the Background |
- If your image is already faded so that it will not compete
with any text, right-click your slide, choose Background, and click
the down-arrow indicated to the right. Choose Fill effects, the
Picture
tab and Select Picture.
- If your image is not already faded, put the picture in
by going to the Insert menu, Picture, From file (or copy and paste it.)
Resize and Crop
the image if
necessary.
Right-click the picture and choose Format
Picture. Select the Picture tab and change the color from Automatic
to Watermark.
If the image is lighter than you want,
add more contrast and less brightness until you are happy with the
results. Note that you can Preview the results by clicking the Preview
button in the dialogue box.
Insert a Textbox on top of the image, if needed, and make sure your
text size and color are readable. If you already had a text box and the
image is in front of it, right-click the image, choose Order, and Send to the Back.

PowerPoint - Sound
Important note: Create a folder for your Presentation. Save the
PowerPoint presentation and any sound files in there. Insert the sound
files into PowerPoint after they have been saved to the folder to maintain
the proper path (link) on someone else's computer. You will move this
entire folder to your teacher's Drop Box or burn it on your CD. If you are playing a
music cd, this step is not needed.
- Insert menu, Movie and Sounds, Sound from File or Play CD Audio
Track.
- I usually choose Play on mouse-click
- Drag the sound icon into the gray area of your screen.
- Right-click it and choose Custom Animation
|
|

Additional Formatting Ideas for Your PowerPoint
- Use elements of the Drawing Toolbar
- Right-click and choose Background and choose a color for your
background
- Use a prepackaged Design Template - right-click and choose Apply
Design Template. Scroll down to see a sample of each. Save your document
before you apply a design template.
- Remember to use the undo button
if you make a mistake.
Bulleted Points - Animation
- Remember the 6x6 rule of thumb (no more than 6 words across, 6 words
down)
- After entering all bulleted points, right-click and choose Custom
Animation
- Put a checkmark in the box at the top that corresponds with your
bulleted points
- Pick your effects (and sound, if needed)
judiciously
- Don't have text cross other text or images, if possible
|
- Consider having your bulleted point dim after you are
through talking about that point. To do so, in the Taskpane click the
event and click the right-arrow next to it. Choose Effect Options. You
will get the screen shown on the right. Clcik the arrow next to Don't
Dim and change the color to one that is lighter than the original color.
I often choose gray.
