Outlook – Wasting Server Space With Messages with Large Attachments

 

The New Year is a good time to clean out some of your old emails that are just sitting on the server wasting space. The best way to quickly reduce the size of your Outlook Folder is to search for and delete the largest emails, usually messages with images or attached pictures that are hogging drive space.  You can delete them or save the attachment to your local C drive or My Documents. Please let me know if you need help saving or deleting them.  Also consider buying your own usb memory stick for saving personal files and images. You can buy them at the drug store as well as an office supply store. Older Tech Tips and Help Documents are on my website, so you do not need to save those emails.

Find Messages with Large Attachments


Outlook 2003

Click the Tools menu, Find, and Advanced Find.

Click Messages in the Look for list.

Select the More Choices tab.

In the Size dropdown box choose greater than. Type 1000 in the box next to Size.  (That is 1000 Kilobytes, which equals 1 MB, a large file!)

Then click the Find Now button.

Outlook will show a list of these huge messages. You can delete them there. Remember to follow up by emptying your Deleted Items.

You can also double-click one to open it, if needed, and go to File, Save As, if you really need to save it to your computer. Outlook 2007

Click the Tools menu, Instant Search, and Advanced Find.  The rest of the instructions are the same.
